SPICE™ Glossary / Document digitization (beyond OCR)

Document digitization (beyond OCR)

Document digitization is the process of turning PDFs, spreadsheets, scans and emailed documents into structured, validated data that business systems can process without manual entry.

Many trading partners still send purchase orders, acknowledgments, packing lists and invoices as PDFs, spreadsheets or email attachments. Someone has to read each one and key it into the ERP. That manual step is slow, error-prone and invisible to the rest of the process: the document exists, but the transaction behind it does not until a person creates it.

OCR vs IDP: optical character recognition (OCR) converts an image of text into machine-readable characters. It tells you what the page says, not what it means. Intelligent document processing (IDP) adds classification and extraction, often with machine learning, to identify the document type and pull out fields such as the purchase order number, items, quantities and totals.

Going beyond OCR means going beyond extraction. A digitized invoice still needs to be checked against the purchase order and receipt, matched to the right supplier and order, and converted into the format your ERP expects. Without that business validation and matching, document digitization simply moves typing errors into your systems faster. Done well, it lets non-EDI trading partners take part in the same process as EDI ones.

How SPICE™ handles it

SPICE Digital Document Service™ (SPICE DDS™) is a managed, AI-assisted service that turns PDFs, spreadsheets and emailed documents into validated, ERP-ready transactions. It checks each one against your master data, the original order and your business rules, links it to the right order at any stage of procure-to-pay or order-to-cash, and routes anything that needs review through a controlled exception process. It digitizes the process, not just the document.

FAQ

Frequently asked questions

What is the difference between OCR and IDP?

OCR converts images of text into characters a computer can read. IDP builds on OCR to classify documents and extract specific fields into structured data. Neither, on its own, checks whether the data is correct for your business.

Can PDFs be converted to EDI?

Yes. Data extracted from a PDF can be validated and translated into an EDI or ERP format, so the transaction enters your systems like any other. Reliability depends on validation and matching against your orders and master data, not just on extraction accuracy.
