Vendor data & new item setup

SPICE™ vendor data management gives retailers, distributors and brands one governed process to collect, validate, complete and publish supplier product data, so new items reach the ERP and storefront accurately and sooner.

Collect, govern and distribute complete product information

Replace disconnected spreadsheets with a governed supplier submission, validation, approval and synchronization process.

Every new item starts with information from a supplier: an EDI 832, a data pool record, a spreadsheet, an email or a form. When that data is complete and accurate before it reaches the ERP, the purchase order, the ASN, the invoice and the product page all line up. Clean product data is where a perfect order begins.

Keep the stages and responsibilities connected

  1. Define category requirements Set attributes, required fields and category rules.
  2. Request supplier content Use the SPICE Catalog™ portal or a supported file submission.
  3. Validate required attributes Check completeness before enterprise publishing.
  4. Correct incomplete data Return actionable feedback to the supplier in context.
  5. Approve the item Apply the enterprise review and approval process.
  6. Synchronize downstream Native middleware maps approved content to ERP, PIM and commerce systems.

Who it serves

Merchandising, product data, item setup, suppliers and IT. You define the required controls. Suppliers get the channel, feedback and support to participate.

The SPICE™ products behind vendor data and new item setup

SPICE Catalog™ works alongside your PIM, MDM or data pool rather than replacing them, and your ERP stays the system of record. The same product data supports procure-to-pay with your suppliers and order-to-cash with your customers.

FAQ

Frequently asked questions

What is vendor data management?

Vendor data management is how you collect, check and maintain the product information your suppliers provide. SPICE™ runs it as a governed process: suppliers submit data in the formats they already use, SPICE™ validates it against your category requirements, suppliers correct gaps at the source and approved items are published to your ERP and other systems.

Does SPICE Catalog replace our PIM, MDM or data pool?

No. SPICE Catalog™ works as the supplier-facing product-data process alongside those systems. It gathers information from suppliers and data pools, fills in the buyer-specific attributes they miss, validates the completed record and synchronizes it with your ERP, PIM and commerce systems.

Does every supplier need EDI?

No. Suppliers can submit through EDI 832, API, third-party data pools, spreadsheets, flat files or the SPICE Catalog™ portal. Every route goes through the same validation, so your team reviews complete records instead of reformatting submissions.

How is rollout supported?

SPICE Connect™ can manage setup, integration, trading partner communication, onboarding and 24×7 production support for the enterprise and its trading partners.

How do we evaluate the solution now?

Use the representative process walkthrough, review the relevant product workflows and discuss your actual interface, rule and deployment requirements with the SPICE™ team.
