Procure-to-pay

SPICE™ procure-to-pay software connects every supplier, whether it sends EDI, works in a portal or emails a PDF, to one governed process from purchase order to invoice, for manufacturers, retailers and distributors.

Bring every supplier into one governed procure-to-pay process

Connect orders, acknowledgments, changes, shipments, receipts and invoices across EDI and non-EDI suppliers. You define the required controls. Suppliers get the channel, feedback and support to participate.

Your strategic suppliers are probably on EDI. Much of the rest of your supplier community still works by email, phone, spreadsheet and PDF. When every supplier follows the same governed process, confirmations, shipments and invoices line up with the PO, and your customers get the order you promised them. Your supply chain is your customer experience.

How a purchase order moves

  1. Purchase order The enterprise PO establishes required items, quantities, dates and references. Responses return through the supported trading partner channel.
  2. Acknowledgment The supplier confirms quantities and dates. Missing confirmations can trigger configured aging and service-level alerts.
  3. Governed change Changes carry reasons and follow the configured buyer approval workflow before enterprise records are updated.
  4. Ship / ASN Shipment and ASN records retain PO references. Required packing, handling unit and routing information is validated.
  5. Receive The warehouse or 3PL returns receipt context so purchasing, operations and AP share the same evidence.
  6. Invoice / match Invoice lines and references are checked against the order and available receipt context. Mismatches enter review.
  7. Payment status Available remittance or payment-status events close the loop and support supplier questions. The ERP owns accounting and payment execution.

Every channel feeds the same process: EDI, API, portal, PDF, email and spreadsheet. Native middleware translates X12, EDIFACT, IDoc and JSON, so suppliers don’t have to change format. Your ERP stays the system of record.

The SPICE™ products behind procure-to-pay

SpicY™ is built in. Ask “Why is this supplier invoice waiting?” and SpicY™ shows the evidence: the order and ASN are present, but the receipt event is missing. An authorized user reviews the evidence before anything changes.
