Vendor data & new item setup for retailers

SPICE™ gives retailers one governed process for new item setup: vendors submit product data in the format they use, SPICE™ validates it against your category requirements, and approved items are published to your ERP and e-commerce systems.

Every new item starts with a vendor

You buy from hundreds of vendors, and every new item, seasonal assortment and product page starts with information they send you. Your customers never see that process, but they feel it when an item launches late, arrives in the wrong pack size or shows up online with missing details.

Your supply chain is your customer experience, and in retail it starts with your vendors’ data.

What gets in the way

  • Item data arrives in spreadsheets Your largest vendors may send EDI 832s or use a data pool. Many others send their own spreadsheet layouts by email.
  • Merchandising and item setup teams do the chasing They follow up on missing attributes, enter records into the ERP by hand and track versions in spreadsheets.
  • Vendor terms don’t match your hierarchy Supplier codes, classifications, colors and sizes rarely line up with your departments, classes, styles and seasons.
  • Data pools don’t hold everything Standard records seldom include every attribute you need for purchasing, receiving and e-commerce.
  • Errors surface downstream A wrong unit of measure breaks the PO, the ASN and the invoice, and incomplete content becomes a weak product page.

One process for every vendor

SPICE Catalog™ is the vendor-facing product-data layer of the SPICE™ Supply Chain Collaboration Platform. You set the attributes, required fields and approval steps for each category. Each vendor submits through EDI 832, API, a data pool, a spreadsheet or a web form, so global brands and vendors not on EDI take part in the same process.

SPICE™ validates every submission before anything is published and sends gaps back to the vendor with specific feedback, so corrections happen at the source. Vendor products and GTINs are cross-referenced to your SKUs, departments, classes, styles, colors, sizes and seasons. Your team approves the complete record, and SPICE™ publishes it to your ERP, PIM and e-commerce platform.

SPICE Catalog™ works alongside your PIM, MDM or data pool rather than replacing them. It reuses the standard data that’s already there and collects the rest directly from vendors.

See what’s outstanding

SPICE Insight™ shows submission status, outstanding information and exceptions by vendor, so your team knows which items are blocked before a launch date slips. SPICE Connect™ can run vendor outreach and onboarding for the program.

Clean item data carries through every order

Once items are approved, SPICE Web OMS™ checks vendor order item data against SPICE Catalog™ in real time, so confirmations, ASNs and invoices reference the right products. That’s why item setup sits naturally beside procure to pay for retailers, and why accurate item data strengthens your retail vendor compliance program. What changes

01

Clean data

Item records are validated before they reach the ERP and the storefront, not cleaned up after.

02

Perfect order

Accurate item, pack and unit information carries through to POs, ASNs, receiving and invoices.

03

More control

You decide what “complete” means for each category, see which vendors have outstanding items and approve every record. Vendors do the corrections, not your buying team.

FAQ

Frequently asked questions

What is retail new item setup?

It's the process of getting a vendor's product information into your ERP and e-commerce systems before an item can be bought, received and sold. SPICE Catalog™ runs it as one governed process: vendors submit data, SPICE™ validates it against your category rules, vendors correct gaps and your team approves each record.

Our vendors already use a data pool. Why do we need more?

Data pools are valuable, but they rarely hold every attribute a specific retailer needs, and not every vendor takes part. SPICE Catalog™ reuses the standard data that's there, collects the rest directly from vendors and maps the complete record to your hierarchy.

What about vendors that aren't on EDI?

They submit through a spreadsheet or a web form, and their data goes through the same validation as an EDI 832 or API submission. Every vendor follows the same rules, whatever its technical capability.

Can SPICE Catalog™ handle our styles, colors, sizes and seasons?

Yes. It's configured around your categories and attributes, and vendor products are cross-referenced to your SKUs, departments, classes, styles, colors, sizes and seasons, with reusable mapping templates for later submissions.
