SPICE™ Glossary / Trading partner onboarding

Trading partner onboarding

Trading partner onboarding is the process of connecting a new supplier, customer, carrier or warehouse to your systems, from requirements and setup through testing to live production transactions.

Every new trading partner has to be set up before it can exchange orders, shipment notices and invoices with you. For EDI trading partners, that means agreeing on documents, connectivity and data rules, then proving the connection works. For non-EDI trading partners, it means giving them a workable channel and training them to use it.

A typical EDI onboarding process includes:

  • Outreach and requirements: which documents, versions and business rules apply
  • Connectivity: AS2, SFTP, an EDI VAN or API
  • EDI mapping between the trading partner’s format and your systems
  • EDI testing and certification against your requirements
  • Go-live and monitoring of the first production transactions

Onboarding slows down when it runs one trading partner at a time through email threads and an overloaded EDI team. The pressure peaks during onboarding waves, such as an ERP change, an acquisition or a new compliance mandate, when dozens of trading partners need to be connected at once.

How SPICE™ handles it

SPICE Connect™ runs trading partner programs as a managed service: program design, mapping, outreach, onboarding, testing, rollout and ongoing support, with one accountable team. SPICE iKompli™ lets EDI trading partners test against your requirements on their own while you decide go-live. Non-EDI trading partners join the same process through the channel they have, as described in every trading partner.

FAQ

Frequently asked questions

How long does EDI onboarding take?

It depends on the trading partner's readiness, the number of documents, how complex the maps and business rules are, and how quickly test errors get fixed. Testing and correction cycles are usually where most of the time goes.

What do you need from a new trading partner?

Contact details for its EDI or IT team, its connectivity method and identifiers, the documents and versions it supports, and agreement to your specifications. Non-EDI trading partners mainly need user accounts and a short walkthrough of the workflows they will use.
