SPICE™ Glossary / Vendor compliance

Vendor compliance

Vendor compliance is the set of rules a retailer or other buyer requires its suppliers to follow for orders, EDI documents, labeling, packing, shipping and delivery, usually enforced through chargebacks.

Retailers and distributors run distribution centers and stores that depend on suppliers doing things the same way every time. Vendor compliance programs spell out those expectations, usually in a vendor compliance manual or routing guide, and they apply to every supplier that sells to the buyer.

Retail vendor compliance requirements typically cover:

  • EDI documents, versions and timing, such as sending an ASN (EDI 856) before the shipment arrives
  • Carton and pallet labels, often GS1-128 barcodes that match the ASN
  • Packing, pallet build and case pack rules
  • Shipping and routing, including following routing instructions (EDI 754)
  • Delivery performance, often measured as OTIF

When a supplier misses a rule, the buyer usually recovers the cost through chargebacks and tracks the pattern on a supplier scorecard. For suppliers, the hard part is that every buyer has its own manual. For buyers, the hard part is getting consistent results from suppliers with very different systems and levels of EDI capability.

How SPICE™ handles it

SPICE™ helps you get compliance right before go-live and keep it right afterward. SPICE iKompli™ certifies EDI vendors against your maps and rules, SPICE Web OMS™ guides non-EDI vendors through compliant ASNs and labels, and SPICE Insight™ scores vendors on on-time, complete and accurate performance using transaction evidence.

FAQ

Frequently asked questions

What is a vendor compliance manual?

It is the document a buyer publishes to tell suppliers how to handle orders, EDI, labels, packing, shipping and delivery. It usually lists the chargeback for each type of violation.

Is vendor compliance only a retail practice?

Retail made it common, but distributors, manufacturers and other buyers with complex receiving operations also set vendor compliance rules. The principle is the same: consistent supplier data and shipments keep receiving and fulfillment running.
