SPICE™ Glossary / New item setup

New item setup

New item setup is the process of collecting, validating and entering a supplier's product data into a buyer's systems so the item can be ordered, received, sold and paid for.

Every new product a retailer or distributor carries starts as information from a supplier. Before the first purchase order, the buyer needs identifiers such as the GTIN and supplier part number, descriptions, dimensions and weights, pack and unit-of-measure details, cost, category attributes, images and any regulatory data. The buyer then assigns its own SKU and places the item in its hierarchy.

Vendor item setup usually follows these steps:

  • Request the data from the supplier
  • Receive it as an EDI 832, a data pool record, a spreadsheet or a web form
  • Validate it and send gaps or errors back to the supplier
  • Map it to the buyer’s categories and item master
  • Approve and publish it to the ERP, e-commerce and other systems

Delays come from incomplete submissions, re-keying, and back-and-forth emails over missing attributes. Errors are costly later: a wrong case pack or unit of measure causes receiving problems, ASN mismatches and invoices that fail the three-way match.

How SPICE™ handles it

SPICE Catalog™ gives suppliers one governed way to submit product data, by EDI 832, API, data pool, file, spreadsheet or web form. It validates each submission, fills buyer-specific gaps, maps supplier items and GTINs to your ERP item hierarchy and publishes approved records to the systems that need them.

FAQ

Frequently asked questions

What data is needed for new item setup?

Typically identifiers (GTIN and supplier part number), descriptions, dimensions and weights, pack hierarchy and units of measure, cost, category attributes, images and any compliance information. Each buyer adds its own required attributes on top of the standard set.

Why isn't data pool data enough for new item setup?

Data pools carry standard attributes, but rarely every attribute a specific buyer needs, and not every supplier participates. Buyers still need to collect the rest, validate it and map it to their own item structure.
